How Inbox Spy works.

What is Inbox Spy?

Inbox Spy is an email intelligence library for competitor research. Instead of forwarding messages to teammates, saving screenshots, or keeping examples in a messy inbox, you create a company in Inbox Spy and give that company its own tracking address. Emails sent to that address are saved under the right company automatically.

The product is useful for product marketers, lifecycle marketers, founders, agencies, and anyone who needs to understand how a market communicates. You can follow competitor newsletters, trial signups, product announcements, reactivation campaigns, webinar follow-up, and other email flows that are available through public signup paths.

The goal is simple: make competitor email research easier to trust. A saved email should show the company, sender, subject, recipient address, received date, rendered email body, and enough context for another teammate to understand why it matters later.

What are tracking addresses?

A tracking address is a unique Inbox Spy email address created for one company or research source. You use it when subscribing to a competitor newsletter, creating a trial account, registering for a webinar, or joining another public email flow. When that company sends a message, Inbox Spy uses the recipient address to file the email into the right archive.

This keeps research clean. If one competitor sends a welcome email, a discount, and a product update, those messages stay together. If you track several competitors at the same time, each company keeps its own archive. You do not need to connect your personal inbox for the main workflow.

How to start using Inbox Spy

Start by creating a workspace account. Open the app, add a company you want to monitor, then copy the tracking address generated for that company. Use that address when signing up for the company newsletter, trial, demo form, product update list, or event registration that you want to study.

After the first email arrives, Inbox Spy stores it in the company archive. You can return to the company page to review all saved messages, search across the library, or compare messages with other companies. For the first test, choose one or two brands that send regular emails so you can confirm the workflow quickly.

The free Basic plan is designed for validation. It supports a small watchlist and enough captured emails to test whether the workflow fits your research process. Paid plans add more company capacity, more room for ongoing monitoring, and public PDF sharing for selected emails.

How email archives work

Each captured email is stored privately in your workspace. The archive keeps the subject line, sender, recipient address, received date, company relationship, and readable email content. This makes the saved message more useful than a screenshot because the context stays attached to the email.

You can use the library to inspect campaign timing, subject-line patterns, design choices, calls to action, offer structure, proof points, and lifecycle stage. A competitor email archive becomes more valuable over time because you can see changes in positioning and cadence, not just isolated examples.

How to organize companies and folders

Every tracked company has its own page and tracking address. Use folders to group companies by competitor set, client, product category, campaign project, or research sprint. For example, an agency might create one folder per client. A product team might create folders for direct competitors, adjacent tools, and inspiration brands.

Keep names practical and readable. A teammate should be able to open the workspace and understand what each company and folder represents. If a folder is deleted, its companies can remain available in the workspace. If a company is deleted, its captured emails are removed with it, so treat company deletion as a permanent cleanup action.

How PDF sharing works

Inbox Spy can generate visual PDF proof for selected emails. This is helpful when a product manager, marketer, founder, or client needs to see the exact campaign example behind a recommendation. Instead of sending a screenshot with missing context, you can share a PDF version of the saved email.

Use sharing for specific evidence, not for every message. The best workflow is to keep the full archive private, then share only the emails that support a campaign brief, competitive analysis, lifecycle review, or client report.

Privacy and account security

Inbox Spy is private by default. Each user has a separate workspace, and the main tracking-address workflow does not require access to a personal inbox. Your companies, folders, saved emails, and selected PDF links are controlled through your account.

Common questions

Why has an expected email not appeared?

First, confirm the signup used the exact tracking address for that company. Some newsletters also delay welcome emails or require a confirmation step. If the message was sent recently, wait a short time and refresh the archive.

Do I need to connect Gmail?

No. The current main workflow uses Inbox Spy tracking addresses, so you can collect competitor emails without connecting a personal Gmail inbox.

What should I track first?

Start with competitor newsletters, trial onboarding emails, pricing-page follow-up, product updates, webinar flows, and reactivation campaigns. These sources usually produce useful evidence for positioning, lifecycle, and campaign planning.
